You’ve spent months (maybe years!) planning your wedding, and you have thousands of details floating around in your mind. The final detail meeting and venue walk through is the perfect time to review those details and be sure that you have communicated them to your team of wedding pros. Let’s take a look at the final detail meeting/venue walk through.

What Happens At The Meeting:

  • We’ll finalize the venue layout 

  • We’ll review the plan for inclement weather including what time a decision needs to be made

  • We’ll review and finalize the wedding day timeline

  • We’ll review any outstanding decisions with the wedding pros listed below

Who Attends:

  • It’s best if both partners can attend the final detail meeting and venue walk through so that any final decisions can be made or discussed. If you do not live in the area, talk to your wedding planner and venue coordinator about scheduling a virtual walk through via Zoom.

  • Your caterer, florist, or rental company might attend, depending on a few factors: whether or not they work at the venue frequently, if there are any unique design or food elements, or if your venue requires their attendance.

  • If your photographer or entertainer isn’t familiar with the venue, they may also pop in for a few minutes to see the space.

  • And of course, your wedding planner and venue contact person will attend the walk through.

Who Should Not Attend:

  • It’s best if only the couple and the wedding pros listed above attend the final meeting.

  • Having too many opinions can lead to frustration for all those involved.

How Long Does It Take and When Does It Happen:

  • The final meeting typically takes 1.5-2 hours.

  • It’s best to schedule this meeting approximately 4-6 weeks before the wedding.

What Should I Do Before The Meeting:

  • Fill out any worksheets or questionnaires that wedding pros have sent you. This is especially important for your photographer, as their schedule will influence the hair/makeup schedules and other parts of the day.

  • Create a list of any personal items you will be providing for the wedding: favors, guest book, card box, ceremony programs, escort cards, etc.

  • Bring copies of every contract with you to the walk through - preferably copies for your wedding planner too. (Or email/upload them prior to the meeting.)

Your final detail meeting should be the point that you had off all communication with your wedding pros to your wedding planner. He or she should become the primary point of contact for any of the logistical questions leading up to the wedding day, but will loop you in on any issues or decisions that need your attention.
